Consider/Approve Carpet Bid for South Fulton Elementary and South Fulton Middle/High Schools

Background Information :

In addition to advertising, we solicited bids for the purchase of carpet for the South Fulton Elementary School Library. This item was requested during budget hearings for the current fiscal year and funds are available for this purchase within the General Purpose School Fund budget for the current fiscal year as previously approved by the Board. We received bids from three (3) companies, which are summarized on the bid request tally sheet. Individual bids were as follows:

Union City Carpet Center – $10,934.85 (accepting voluntary alternate)
The Color Shop – $11,000.00
R & S Carpets, LLC – $8,150.00 (accepting voluntary alternate)

The low bid, including installation and disposal of the old carpet, was submitted by R & S Carpets, LLC from Dyersburg, Tennessee in the amount of $8,150.00.

In addition, quotes were solicited from these same three (3) companies to install carpet in the offices of South Fulton Middle/High School and the high school guidance office. This item was requested during budget hearings for the current fiscal year and funds are available for this purchase within the General Purpose School Fund budget for the current fiscal year as previously approved by the Board. Individual quotes were as follows:

Union City Carpet Center – $8,326.94 (accepting alternate)
The Color Shop – No quote submitted
R & S Carpets, LLC – $6,419.00 (accepting alternate)

Since R & S Carpets, LLC had the low quote, state law allows local governments to use a previous bid if the same product is specified. In this case, the carpet for the library and offices is of the same brand and quality.

Staff Recommendation:

I recommend approval of the low bid and quote as submitted by R & S Carpets, LLC in the amount of $8,150.00 and $6,419.00 respectively.
